Transforming an Issue Brief Into Other Materials with Change Agent

📋 STEP BY STEP

Here’s how you can use Change Agent to transform an issue brief into organizing, communications, and development materials.

Step 1: Load the Issue Brief

Load your issue brief into Change Agent as in-context learning. This will allow it to understand the complexities and nuances of the issue at hand. There are two methods to do so:

  • To upload the information as a file
    • Click the “+” symbol to the left of the prompt window
    • Choose your file
  •  To load the information from a webpage
    • Copy the entire URL (NOTE: if the URL is for a Google Doc or other cloud service, make sure that sharing is set to “Anybody with the link”)
    • Type “#” into the Change Agent prompt window and paste your URL immediately after the “#”
    • Click on the gray dialog window that says #[URL] to load the information

Step 2: Draft Organizing Materials

Transform the issue brief into organizing materials, such as a letter to a legislator or an organizing toolkit. Use Change Agent’s knowledge base database of letters to legislators by clicking “#” and then choosing the relevant template.

Provide clear instructions about what you need, for example:
“Transform this issue brief into an organizing toolkit that includes talking points, FAQs, and a sample script for canvassing.”

Step 3: Prompt Change Agent for Communications Materials

Create communications materials such as social media posts or email campaigns. Provide specific prompts like:

  • "Turn this issue brief into a series of tweets highlighting the key facts."
  • "Draft an engaging email campaign based on this issue brief that encourages readers to take action."

Step 4: Prompt Change Agent for Development Materials

Create development materials like fundraising emails or grant proposals. Instruct Change Agent accordingly:

  • "Create a compelling fundraising email based on this issue brief emphasizing the urgency of the issue and the impact donors can make."
  • "Write a grant proposal using the information in this issue brief that demonstrates our organization's capacity to address this problem."

Step 5: Repeat

By following these steps, you can effectively use Change Agent to transform your issue brief into multiple types of documents, saving time, ensuring consistent messaging, and fostering collaboration across departments.

📘 BACKGROUND

Current Process
In political advocacy organizations, policy experts often create detailed issue briefs to inform other departments about specific issues. These briefs are then used by different teams within the organization such as organizing, communications, and development for that department’s purposes.

The current process typically looks like this:

  1. The policy team drafts an extensive issue brief.
  2. Meetings are held with other department members to explain the issue at hand.
  3. Each department then drafts documents tailored to their specific needs using insights gained from the issue brief and meetings.
  4. These documents are reviewed by the policy team for accuracy before being finalized.

Opportunity

This process can be time-consuming and often leads to inconsistencies in messaging and understanding across departments. Change Agent’s generative AI capabilities can be used to:

  • Reduce Time-Intensive Meetings – Training non-policy team members to maintain fidelity to an organization’s expert analysis has required that the policy team spend substantial time with other departments.
  • Improve Message Discipline – Maintaining discipline across a team of professionals is difficult in the best of times and low staffing, compressed timelines, and triggering topics only make it harder.
  • Strengthen Interdepartmental Teamwork – People working in advocacy often feel overworked, underpaid, and unappreciated. Streamlining work reduces friction between departments, especially during periods of additional stress.

Benefits

  • Meeting time reduced by 90%
  • Writing/Editing time reduced by 80%
  • Greater fidelity to policy briefs and organizational voice across departments
